Patient booking

Patient booking
that fills the schedule

Online booking around the clock and by phone, in one practice calendar. A free-slot search instead of scrolling a diary, a waiting list that turns a cancellation back into a visit, and reminders that go out on their own.

A booking in three steps

01

The patient picks a slot

On their own, from the practice website, or by phone, in which case reception uses the free-slot search instead of scrolling the schedule.

02

The system confirms and reminds

A confirmation right after booking and a reminder before the visit, by SMS, email or push. Fewer missed visits without anybody doing extra work.

03

The visit lands in the schedule

With no re-typing: the visit sits in the calendar of the whole practice, and the patient record and documentation attach themselves.

How it works

Booking that does not keep the patient
waiting on the phone.

Online booking, the phone and the free-slot search all work off one schedule.

Free-slot search

You type the service and the nearest open slots appear, without having to name a specialist first. Nobody waits on the line while somebody scrolls a paper diary looking for a gap.

  • Filters by service, specialist and date.
  • One click turns a result into a booked visit.
  • Reception in the pilot named this the number one thing missing from their previous system.

A calendar that warns instead of blocking

You arrange the schedule by dragging, and before a mistake the system warns rather than stopping the work. The decision stays with the person at the desk, which is the only way a front desk can absorb a walk-in.

  • Overlaps, time off and blocks flagged the moment they happen.
  • Move a visit in one gesture.
  • Views by doctor, by room and by specialty.

Booking around the clock from your own site

A booking window on the practice website takes appointments when reception has already gone home. One line of code embeds it; the plan you are on does not change whether patients can book.

  • The booking lands straight in the schedule, with the patient record attached.
  • You publish only the slots you want to publish.
  • Optional payment up front, and telehealth through a built-in video channel.

Waiting list and reminders

After a cancellation the system offers the freed slot to the people on the waiting list, and reminders bring down the number of visits nobody turns up for. Neither needs anyone at the practice to remember.

  • The slot goes out as a message with a link that expires in two hours.
  • Reminders by SMS, email and push.
  • Email and push are in the plan; SMS is quoted separately.

Questions about booking

What people ask about patient booking

The booking window works from any page that can hold one line of code, so a practice profile, a landing page or a page your marketing agency runs is enough. It is an iframe, which means no plugin and no access to your hosting.

If there is no page at all, the widget has its own address that you can put in an email signature, a message to patients or a business listing. That is usually the fastest way to start taking bookings, and you can move the widget onto a real website later without changing anything on our side.

What you configure once: the services you take bookings for, which specialists appear, the business days and the length of each slot. From then on the calendar is the only place the schedule lives, whether the booking came from the widget or from the phone.

Yes, and this is the setting most practices change first. You publish the slots you want published: selected services, selected specialists, selected hours, and a lead time so nobody books a visit for twenty minutes from now.

Everything else stays internal. Reception keeps booking into the full schedule, including the slots the widget never shows, so an online booking cannot take the window you were holding for a follow-up or an urgent case.

The same applies in reverse: time off, room blocks and equipment blocks are respected by the widget without you doing anything, because it reads the same calendar rather than a copy of it. A slot that is blocked internally is not bookable from outside.

Three things, and they work in that order. A confirmation the moment the booking is made, so the patient has the date in writing rather than in their memory. A reminder before the visit, by SMS, email or push. And a blocklist for the small number of people who repeatedly book and do not appear.

When somebody does cancel, the waiting list turns the gap back into a visit: the freed slot is offered to the people waiting for that service, as a message with a link that expires in two hours so the slot cannot sit reserved by silence.

Email and push reminders are in every plan. SMS is quoted separately, because every message is paid to a telecoms operator and folding it into the subscription would mean practices that send few messages subsidise the ones that send many.

Yes. Each person picks their own interface language inside the application, so a mixed team is never forced onto one.

For the patient-facing side the question is slightly different, and worth asking on the demo rather than assuming: what the widget shows, what the confirmation says and what a reminder says are text you control, so they follow the language of the people you serve rather than the language of the account.

If your clinic serves patients in two languages, bring an example of what each of them should receive. That is a configuration conversation, and it is much cheaper to have before the account is set up than after the first hundred bookings.
